Special Events Security/Screening

Special Events
 
The National Institutes of Health, Division of Police (NIHPD), Special Events Unit provides services for all types of visitors coming to campus and aids in the planning of events, meetings, conferences, indoor and outdoor tent shows, displays, concerts, exhibitions, etc.
hosted by NIH employees and outside contractors contributing to a successful event.  The Special Events Unit provides input into each event to ensure adequate security guard coverage is provided if needed. The Special Events Unit also manages student groups, hotel escorts, tour groups, Site Visits, Media Visits, VIP and Dignitary visits and will customize an entry procedure to expedite the campus experience of our guests.
 
For each of the following categories specific entry procedures must be adhered to.VIP with NIH Police
 
Dignitary and V.I.P. Escorts
 
A representative from the NIHPD/Special Events Unit will meet each dignitary or VIP party at a predetermined location or designated campus entrance and provide an escort to their campus destination.
 
Off Campus Hotel Escorts and Inspections
 
NIH Police clearing visitors for campus entrance at the hotelAn Institute or event planner must contact the NIHPD Special Event Unit at 72 hours prior to the event at which time; the Special Event Unit will provide a planning document and document the event on the unit calendar.

Hotel inspections are completed in the same manner as campus inspections. Customized entry procedures will be made for groups of 50 or more. Arrangements for additional security may be required at minimal cost. Arrangements for large groups and multiple buses may be customized and met at the Gateway Center by a representative from the Special Events Unit.
 
Tour Groups and Site Visits

An Institute or event planner must contact the NIHPD Special Event Unit prior to accommodations being made for tour groups or site visits coming to campus. A planning document will be emailed to the organizer to prepare for the event. NIH Police clearing visitors as they board a bus for campus

All buses will be directed to a designated a campus entry location and met by a representative from the NIH Special Events Unit.  Each bus will be screened and after checking each person’s identification will be issued a 1-Day Visitor Pass. 
Customized entry procedures will be made for groups of 50 or more. Arrangements for additional security may be required at minimal cost. Arrangements for large groups and multiple buses may be customized and met at the Gateway Center by a representative from the Special Events Unit.

An Institute employee must contact the NIHPD Special Event Unit prior to an expected media visit. Each request should be received within 72 hours of the event. A member of the Special Event Unit will place the event on the unit calendar. Upon request, all Media visitors will be met by a member of the Special Events Unit.
 
Visitor Requirements:
 
Visitors must be in procession of a valid I-9 Document (Drivers License, Passport, School Identification Car, Etc.; must pass personal inspection (through use of magnetometer and/ or hand wand) and pass package, luggage, purse, etc. inspection (through the use of x-ray machine.
