Usage Policy

Conference Facilities Usage Policy and Priorities

Conditions for Access to and Use of NIH Facilities for Group Functions, Activities, and Special Events," describes the NIH policy on the appropriate use of NIH facilities for group functions, activities and special events under a graduated set of "Threat Conditions" as defined by the Homeland Security Advisory System. This includes review for approval of any NIH outdoor events. NIH conference facilities are available for use by all Federal Government and Federal Government sponsored organizations subject to the following reservation and use priorities:

  • PRIORITY 1:
    • The Director, NIH, and reservations made through the Office of the Director for HHS Secretary and equivalent or higher Government Officials
  • PRIORITY 2:
    • IC Advisory Councils and Boards of Scientific Counselors
  • PRIORITY 3:
    • IC sponsored International, National and Regional Conferences and Symposia
  • PRIORITY 4:
    • Official NIH Meetings
  • PRIORITY 5:
    • Non-NIH Official Government Meetings; i.e., FAES and R&W

Reservations may be subject to displacement by events with a higher priority. Should displacement occur as a result of a higher priority event, you will be notified immediately and every effort will be made to accommodate the displaced activity in another NIH conference facility.
