Conferences Services

NIH Events Management provides comprehensive conference/meeting support services for NIH conference facilities on the Bethesda campus and surrounding locale.

The use of the NIH centrally managed conference facilities is pre-paid by the NIH OD and IC through an annual assessment based on three-year historical use. Non-NIH Federal Government users will be charged the published room rates via an Inter Agency Agreement.

Basic conference services that are included in the room rates are:

Meeting Space

  1. Scheduling meeting space
  2. Coordinating logistics
  3. Room set-up and clean-up
  Presentation and Voice Enforcement Equipment
  1. Computer and video projection system, overhead projector, slide projector, and laser pointer
  2. Voice enforcement if part of the room build out
  3. Flip chart, built-in white board, and appropriate set of markers

 Rental Equipment

These services are not included in the room rates.

  1. Exhibition stands, tents, tables, chairs, etc.
  2. Specialized audiovisual equipment/services (i.e., cameras, video and audio recording, VCR's, video conferencing, etc.)
  3. Computers

 Supplemental Services

These services are not included in the room rates.

  1. Staffing of conference facilities outside regular hours of service -Natcher Conf. Center 7:30 a.m. to 6:00 p.m.; all other facilities 7:30 a.m. to 5:00 p.m.)
  2. Dedicated Audiovisual Technician, Camera Technician, Producer and/or Technical Director
  3. In-house Meeting Planner for small/larger conferences
  4. Porter services for receiving/shipping, & moving of meeting/exhibition material
  5. Registration desk and crowd control staff
  6. Procurement and coordination of Food & Beverage services

Supplemental services and equipment rentals will be available on a fee-for-service basis as requested. For rates for these services call 301-435-2208 (press 2).

 Available Multimedia Services:

To assist in your conference planning efforts, the Conference Facilities List provides details for each NIH conference facility.

Presentation

  1. Computer projection with LCD projector and screen
  2. Network connection / NIH LAN
  3. 35mm Slide projection with projector and screen
  4. Dual 35mm Slide projection with projectors and screen
  5. Overhead projector and screen
  6. VHS video tape playback (NTSC) with VCR deck, projector and screen
  7. Laser pointer
  8. Flipchart with paper and markers
  9. Whiteboard with markers

Audio System

  1. Podium with microphone
  2. Lavaliere microphone
  3. Table microphones
  4. Aisle microphones
  5. Audio cassette recording
  6. Audio (telephone) conference calling (must be scheduled in advance)
  7. Hearing impaired listening devices

Special

Request through NIH Video services - allow a minimum of 15 days

  1. Video conferencing (ISDN or IP) / point to point or multi point
  2. Overflow (video and audio) to other conference rooms / via closed circuit or fiber
  3. Video production services/videocasting, captioning service, video taping (single or multi-camera), satellite uplink or downlink, video editing, dubbing service.
